Need this for the whole team?
SignatoryGrid stores the brand once and gives every teammate a personal claim link, so nobody hand-edits HTML. Unlimited signatures, unlimited teammates, completely free.
What belongs in a business email signature
A business signature is a small piece of recurring real estate on every message your company sends. The goal is one obvious next action, not a directory.
Full name and job title
The title does real work on cold threads — it tells the recipient whether you can actually make the decision they're asking about.
Company name and website
Link the website once. Linking the company name and the URL separately splits the click and looks duplicated.
One contact method
A tappable phone number or a booking link. Listing office, mobile, fax, and Slack invites nobody to use any of them.
One call to action
A demo link, a case study, or a hiring page. Rotate it quarterly instead of stacking more buttons.
Logo, sized correctly
Under 200px wide, hosted on a public HTTPS URL, with pixel width and height attributes so Outlook doesn't render it at native size.
Legal or compliance line, only if required
Confidentiality notices are legally meaningless in most jurisdictions, but regulated industries and some EU company-details rules do require specifics. Keep it to two lines and put it below the signature block.
What to leave out
Inspirational quotes, 'sent from my phone', full social icon sets, animated GIFs, and green 'please consider the environment' footers. Each one costs attention and adds message weight.
Need a formal disclaimer block as well? Build one with the free email disclaimer generator.
Business signature examples by role
The same brand, adapted to what each team actually needs from a signature. Copy any of these, or see all nine role variations on the examples page.
Sales
Classic barOne booking link beats five social icons. Keep the phone tappable and the CTA singular.

CardA card layout with the studio mark reads as a brand rather than an individual — useful on new-business threads.
From one signature to the whole business
Generating one signature is easy. Keeping forty of them consistent is the part that breaks. Someone bolds their own name, someone else pastes the old logo, and six months after a rebrand half the company is still sending the previous colour palette.
SignatoryGrid stores the brand centrally and generates each person's signature from it. Add an employee, they get a personal claim link, they click Copy and paste. Change the brand once and every signature regenerates. No Exchange transport rules, no Google Workspace append footer, no add-in for IT to approve, and no per-seat pricing — it's free with unlimited teammates.
Business signature FAQ
Is this business signature creator free?
Yes, entirely. The generator on this page needs no account, and SignatoryGrid gives you unlimited signatures and unlimited teammates for free.
Can I generate one signature, or is this only for teams?
Both. Build a single business signature here in about two minutes, or create a free account to store the brand once and issue a personal claim link to every employee.
What should a business email signature include?
Full name, job title, company name, one contact method, and your website. Add a legal disclaimer only where your industry or jurisdiction requires it, and keep it to two lines.
Will the generated signature render in Outlook?
Yes. Output is table-based HTML with inline styles and pixel image dimensions, which is what the Word rendering engine in classic Outlook needs. It also renders correctly in Gmail, Apple Mail, and Outlook on the web.
Can I add a call-to-action or promo banner?
Yes. Add a CTA button linking to a demo, a case study, or an event page. One CTA per signature — a second one measurably reduces clicks on the first.
How do I update everyone's signature after a rebrand?
Edit the brand once in your dashboard. Every employee's signature regenerates from the new brand; re-send the claim links and the team re-pastes.
