What is an employee email signature?

An employee email signature is the block of identifying detail appended to the bottom of every message a person sends on behalf of the company. It usually carries the employee's full name, job title, company name, one contact method, and the company website — plus whatever branding, logo, or legal line the company standardises on.

The distinction that matters in a company setting: the personal fields differ per person, while the brand fields should be byte-identical across everyone. When each employee builds their own, those brand fields drift within weeks — three shades of the logo colour, two versions of the logo file, and a handful of people still using the pre-rebrand tagline.

What should an employee signature include?

  • Full name — as the recipient would search for it, not a nickname.
  • Job title — it tells the recipient whether this person can decide what they're asking about.
  • Company name and website — linked once, not twice.
  • One contact method — a tappable mobile number or a booking link. Not both plus an office line.
  • Logo — under 200px wide, hosted on a public HTTPS URL.
  • Legal line — only where your industry or jurisdiction requires it, kept to two lines.

Leave out inspirational quotes, full social icon sets, animated banners, and confidentiality boilerplate that nobody reads. Every extra element competes with the one action you actually want.
