How to add a signature in Outlook
Every version of Outlook hides the signature setting somewhere different. Here are the exact steps for new Outlook, classic desktop, Mac, the web app, and mobile — plus how to fix a signature that pastes in looking broken.
New Outlook for Windows / Outlook on the web

Open Outlook and click the gear icon in the top-right corner to open Settings.

Go to Account → Signatures (in some builds: Mail → Compose and reply).

Click New signature and give it a name, such as "Work".

Paste your signature into the edit box with Ctrl+V. Paste the formatted version, not plain text.

Under Select default signatures, set the signature for New messages and for Replies/forwards.

Click Save and send yourself a test email.
Note: New Outlook strips some CSS. Table-based signatures — the kind SignatoryGrid generates — survive intact.
Classic Outlook for Windows (2016, 2019, 365 desktop)

Open Outlook and choose File → Options → Mail.

Click the Signatures button next to "Create or modify signatures for messages".

Click New, name the signature, and click OK.

Click into the Edit signature box and press Ctrl+V to paste your signature.

On the right, pick the email account, then set New messages and Replies/forwards to your signature.

Click OK twice, then compose a new email to confirm it appears.
Note: Classic Outlook uses the Word rendering engine. If spacing looks doubled, paste with Ctrl+Shift+V once, then re-paste the formatted version.
Outlook for Mac

Open Outlook and choose Outlook → Settings from the menu bar.

Click Signatures under Email.

Click the + button to create a new signature.

Paste your signature into the editor with Cmd+V and close the window to save.

Back on the Signatures screen, choose your default signature per account.
Outlook on iPhone and Android

Open the Outlook app and tap your profile picture in the top-left.

Tap the gear icon to open Settings, then tap Signature.

Turn on Per Account Signature if you want a different signature per mailbox.

Paste your signature into the field and tap the checkmark or back arrow to save.
Note: The mobile app supports plain text only. Keep a short mobile version — name, title, company, phone — and use the full HTML signature on desktop.

Why does my Outlook signature look broken or misaligned?
Outlook on Windows renders HTML with Microsoft Word, which ignores flexbox, CSS grid, and most modern layout rules. Signatures built with HTML tables and inline styles render correctly — that is what SignatoryGrid generates by default.
Why don't images show in my Outlook signature?
Outlook blocks remote images until the recipient allows them. Host your logo on an always-public HTTPS URL, keep it under about 200 KB, and always set alt text so the signature still reads correctly with images off.
How do I change a signature I already added?
Follow the same path to the Signatures screen, select the existing signature, edit or re-paste the content, and save. Your default assignments stay in place.
Can I set the same signature for everyone on my team?
